Login
Login to the system with your email username and password.
Please remember;
All Staff should now be using OWA (Outlook Web Access) to access their emails. Students will use the Email > Email (Old) link from the Staff Portals or Email link on the Student Portals.
Pupils login with their normal network login username and password.

Use
When you have logged into the system, the first page displays your INBOX.
Click on the blue buttons to perform a particular function.
To view other folders, use the drop down menu under "FOLDERS" to indicate which folder you wish to view. Click on the blue button labelled "change folder" to initiate the change.

Filtering & Spam (unsolicited email messages)
Emails deemed SPAM by the system will have "*****SPAM*****" in the subject.
You will still receive these emails as some might not be spam.
We strongly recommend you check these emails and report any bona-fide emails to ictsupport@greshams.com


A filtering system is in place and is constantly adjusted to include more words/phrases that will be blocked called a
'Blacklist'.
An allowed list or 'Whitelist' is also in force that allows emails.
Please contact the ICT support staff ictsupport@greshams.com with any emails you feel should be entered into the 'Blacklist' or 'Whitelist'

Signature
A signature is added to all outgoing emails as listed below.

Out of Office or Vacation
A new facility has been added (Summer 2008) to allow an automated response to incoming emails.
This 'Vacation' facility should be used when you are away from Gresham's and will not access your emails for some time.
This facility CAN ONLY be implimented from the web.

To Activate
Click on the Email link from the Portal to access the email login page.
Enter your email username and password
From the main screen, click on the button, top right.
Scroll down this screen to the 'Vacation Message' section.
Enter
"Automated reply" in the Subject field
Enter "I will be out of the office until <enter date here>. If your email is urgent please contact <enter name> on <enter telephone No.> or at <enter email address>. I will deal with all other emails on my return. Thank you."
Amending the parts enclosed in < > to suit.

ENSURE THE ALTERNATIVE CONTACT DETAILS ARE CORRECT AND THE INDIVIDUAL INVOLVED IS AWARE.

Click on 'Save vacation message'
Scroll down to the bottom of the page and click on 'Save settings'
Scroll back to the top of the page and click 'Go Back'
Then click 'LOGOUT'

REMEMBER TO DISABLE UPON YOUR RETURN

To Disable
Navigate to the 'Personalise' - 'Vacation message' section as detailed above.
Click on the 'Disabled' tick box
Click on 'Save vacation message'
Scroll down to the bottom of the page and click on 'Save settings'
Scroll back to the top of the page and click 'Go Back'
Then click 'LOGOUT'

OUTLOOK
An alternative to using the web based email is to install an email client, such as Outlook, Thunderbird, etc to your computer. If an email client is not on your school computer please contact ictsupport@greshams.com to install one.

SCHOOL LAPTOPS HAVE BEEN CONFIGURED TO ACCESS THE INTERNET VIA GRESHAM'S INTERNET ACCESS.
THE INSTRUCTIONS GIVEN HERE ARE ONLY FOR USING LAPTOPS WITHIN THE GRESHAM'S SCHOOL CAMPUS.
Due to security issues we do not recommend other internet connection settings are placed on school laptops.

Outlook settings:
Run Outlook by double clicking the Outlook icon from the desktop, if there is no desktop icon click:
Start - Programs - Microsoft Office - Microsoft Office Outlook

If Outlook has not been started previously the connection wizard will start.
Follow the instuctions and enter these details as they appear:
your email address:- <your username>@greshams.com
POP3 settings:-

SMTP settings:-
10.20.4.12
